InvoiceCafe turns the twenty minutes you lose to a spreadsheet template into about one minute. Fill in the form on the left, watch a real invoice take shape on the right, and save the PDF. That is the whole app.
There is no account to create, no subscription dashboard, and nothing to upload. Your invoices, your clients and your business details live in one file on your own computer, and the app never sends them anywhere.
Highlights
- See the invoice as you type - the finished page sits beside the form and updates on every keystroke, so you spot a wrong figure or a missing line before you send it, not after. Save it as a PDF or send it straight to the printer.
- Three designs that already look finished - Minimal for clean modern work, Classic for a formal ruled ledger, Modern for a colour masthead. Pick your accent colour and the whole sheet follows.
- Enter a client once, use them forever - the address book keeps names, addresses, emails and tax numbers. Pick a client and every field fills itself in.
- Bill from more than one business - keep a profile for each business, side project or trading name you invoice under, each with its own logo, address and bank details. Pick which one is sending on the invoice itself, and the next one starts from whichever you used last.
- Old invoices never change behind your back - each invoice keeps its own copy of the client and sender details it was written with. Rename a client, move office, or retire a whole business profile next year, and last year's paperwork still reads exactly as it was sent.
- Totals you can hand to an accountant - quantities, rates, a percentage or fixed discount and a tax rate, all worked out to the penny and applied in the order they should be. Nearly thirty currencies, including the ones with no decimal place.
- Names and addresses that print properly - accents and tone marks come out of the PDF exactly as you typed them, so a Vietnamese client name is not quietly stripped down to plain letters. The finished file stays searchable and you can still copy text out of it.
- Your whole history in one place - browse and search everything you have billed, duplicate last month's invoice into this month's, and mark what has been paid.
- Yours to take with you - save a backup of everything with one click, and move your client list in or out as plain readable files whenever you want.

How it works
Fill in your business details and add your logo once, trimming it to size if you want to. After that, a new invoice starts with your next number already filled in, a due date thirty days out, and the business you last billed from. Add what you are charging for, pick the client, and the totals appear as you go.
When it looks right, choose Export PDF and pick where to save it. The file that comes out is exactly the page you were looking at, ready to attach to an email.
