How to Scan a Document on Mac Without a Scanner

The iPhone in your pocket is a better document scanner than the flatbed in the office cupboard. Here is the built-in way to scan straight into a folder on your Mac, why the file it hands you is only a picture of a page, and how to end up with a PDF you can actually search.

The flatbed in the cupboard is the slow option

A page is sitting on your desk and you need it as a file. Pointing a camera at it gives you exactly what you asked for: a badly lit, warped picture of your desk with a piece of paper somewhere in the middle. The text is skewed. The white paper looks gray. The flatbed scanner in the office cupboard is the proper tool for this job, but it's incredibly slow. It needs vendor drivers, which is one more piece of software to install now and to strip off properly later. It is always somewhere else in the building. You could run that desk photo through a web converter, but they demand an upload. Sending a signed contract to a remote server just to flatten a page is a terrible idea for your privacy. A genuinely good result is not complicated. You want a square page, even lighting, the right way up, and text you can select with your mouse.

Scan straight into a folder with Continuity Camera

Right-click empty space in a Finder window. Choose Import from iPhone, then Scan Documents. Your iPhone camera will open, find the edges of the paper, and the finished scan will land directly in that folder. You'll find the same option inside Preview under the File menu, and behind the camera icon inside an Apple Note.

It relies on Continuity Camera. Both devices need Wi-Fi and Bluetooth turned on, and they have to be signed into the same Apple Account. The iPhone's scanner handles the perspective correction entirely on its own. It detects the page edges and squares up the shot. This has a hard limit. A Mac with no Apple device nearby cannot use Continuity Camera at all.

How to hold the page so the scan is worth keeping

Software can only work with the pixels it's given. Page detection keys heavily on contrast between the paper and the surface under it. A white page on a dark desk is found immediately. A white page on a white table is invisible. Move the paper.

Light it from the side rather than directly overhead. Your own shadow falls onto the paper when the main light is behind you. Shoot from directly above where you can. Flatten out a folded page first. Keep the whole document in the frame, making sure all four corners are visible. A corner outside the frame is a corner the software has to guess.

What you actually got: a picture of a page

macOS has Live Text built in. When you open that scanned file, your Mac will let you highlight words right off the image while you look at it. This feels like a solved problem until you close the window. Live Text reads the picture live. It does not write a text layer into the file itself. That scan is still just an image of a page.

Search your disk for a phrase from that contract in six months and nothing will come back. Spotlight has nothing to index. You can pull the text out permanently using a built-in Shortcuts action called Extract Text from Image. That is perfectly fine for getting the words off a single page. It's incredibly tedious for a stack of forty. A picture of a page is a dead end. A file with a real text layer is a document you can archive, search, and edit.

Three apps for the three things you do with a scan

Reach for ScanToDocx when you need to change the words. The page comes back as real editable paragraphs in a .docx, with a -text suffix. It rebuilds structure. Run-on lines are joined back into paragraphs, and a bulleted line becomes a real Word list item. Naming a language sets the document's proofing language. Word stops underlining every word of a Vietnamese page as a spelling mistake. A finished document opens in DocCafe.

Scanning a stack, not a page

Drop twenty photos into the window and they queue several at a time. Each finished file lands beside its original.
